For independent service providers and small businesses

Agree the quote. Prepare the invoice from the same lines.

Set out the work, price and options in a quote. Keep the customer’s response with it, then choose a full invoice or bill in stages. Review every invoice before sending it. The complete workflow with email sending is available in Starter and Business.

Signed file received

Choose Convert to invoice for the accepted quote. The resulting draft carries the quote reference and its effective lines; check the date, VAT and customer details before sending.

From a proposal to a checked invoice

  1. Write the quote

Select the client, describe the base work and add optional lines where useful. Check the quantity, price, VAT treatment, validity date and sales conditions. A proposal-style quote follows the same acceptance and invoicing lifecycle.

  2. Send and record the response

Email sending belongs to Starter and Business. The email links to a French-language response page where the customer can upload a signed PDF, PNG or JPG, up to 5 MB. You can also record acceptance or refusal received through another channel and keep the evidence.

  3. Choose whole or staged billing

For an accepted quote with no linked invoice, Convert to invoice creates a complete draft. For a deposit or milestone, use Facturer, then the + action for later parts. Review and save the selected lines and amounts; the partial path is not an automatic billing schedule.

  4. Check and send the invoice

Confirm the accepted options, invoice date, service date, VAT, payment terms and any required purchase order. Quotes go by email; supported invoices can go over Peppol after setup. Follow network delivery separately from customer approval and payment.

Keep acceptance and billing under control

  • The response page accepts an upload only while the quote is open and sent. It provides signed-file upload, not an electronic-signature service or an online refusal action.
  • After acceptance, changes to price or scope need a revised or additional quote agreed with the customer. Editing a converted quote does not update its invoice.
  • Full conversion is refused once an invoice is already linked to the quote. Continue staged billing with the + action instead of billing the whole quote again.
  • The displayed remaining amount includes linked draft invoices and does not deduct credit notes. Check earlier invoices and corrections yourself; partial invoicing does not enforce the quote as a spending cap.

Questions before you send a quote

Does accepting the quote send an invoice automatically?
No. Acceptance records the agreed quote and the signed file when uploaded. You choose the billing path, review the invoice and send it yourself. Acceptance is also separate from payment.
What if the quote has expired?
An expired quote cannot be accepted on the response page. If the offer still stands, extend its validity to reopen it; otherwise issue a revised quote. Acceptance already received in writing can be recorded through the quote’s status controls.
Can I invoice a deposit and then the balance?
Yes. Use the partial invoicing path, check each amount and refer to earlier invoices. OrdoGrid does not schedule those stages automatically. The deposit guide explains the document and timing questions to discuss with your accountant.
What if an invoice already sent needs correcting?
Editing the quote does not correct the issued invoice. Follow the invoice correction or credit-note process. Credit notes require Starter or Business; network delivery does not prove that the customer accepted or paid the invoice.
